InventoryHQ is designed primarily for roofing contractors and trades teams who warehouse materials and manage multiple crews, job sites, or locations. That said, it works well for any contractor who deals with the challenges of tracking inventory across warehouses, managing field equipment, controlling job costs, and keeping field workers accountable.If your operation involves materials moving in and out of a physical location, equipment being checked in and out by crew members, and job costs that need to be tracked accurately, InventoryHQ is built for you.
You can run as many locations and users as your business needs — everything ties together under one login. Here’s how it works by plan:

There’s no hard cap on how large your account can grow. You add capacity as you need it.
Direct CRM sync is in active development and is a top priority for the InventoryHQ team. An open API and CRM integration layer are both on the near-term roadmap.In the meantime, you can export your job costing data, inventory reports, and activity logs from InventoryHQ as CSV files and import them into your CRM or accounting software. Yes. All data in InventoryHQ is encrypted in transit and at rest, and stored securely on cloud infrastructure. Only users with authorized credentials can access your account. Role-based permissions mean that field workers only see the jobs and equipment assigned to them — they can’t access financial data, reports, or other users’ information.For details on managing access levels for your team, see User Permissions.
It depends on your billing plan:
  • Monthly plans: Yes — cancel anytime. You won’t be billed after your current billing period ends, and you retain access until the period is up.
  • Annual plans: Annual subscriptions are billed upfront at a 15% discount and are not prorated if canceled early. If you cancel an annual plan, your access continues through the end of the paid period, but unused months are not refunded.
In either case, your data is retained for up to 365 days after cancellation. If you reactivate within that window, your account picks up where you left off. After 365 days, data is permanently deleted.
The Equipment Only plan ($99/month) is focused entirely on equipment tracking — adding assets, assigning them to team members, vehicles, or jobs, auditing who has what, and maintaining assignment history. It’s built for teams whose primary need is accountability over company-owned tools and gear.The Core Plan ($199/month) includes everything in Equipment Only, plus:
  • Full inventory management (materials, quantities, locations)
  • Job tracking and job costing
  • Reporting (Job Costing Breakdown, User Activity, Material List, Inventory Trends)
  • CRM data export capabilities
  • Support for warehouse locations as add-ons
If your team needs to track not just equipment but also the materials going into each job — and understand what each job actually cost — the Core Plan is the right starting point.
Yes. InventoryHQ has native apps for both iOS and Android, so your field workers can log material usage, view their assigned jobs, and check in equipment from the job site without needing a desktop. Download the app from the App Store or Google Play, then log in with the same credentials used on the web platform.
Your data is retained for up to 365 days after your subscription ends. During that window, you can reactivate your account at any time and immediately regain access to all of your records — jobs, inventory history, equipment logs, and reports.If you want to preserve your data outside of InventoryHQ before canceling, export your reports (job costing, inventory, activity) as CSV or PDF files. See Data Export for instructions.After the 365-day retention window closes, your data is permanently and irreversibly deleted.
