InventoryHQ makes it easy to get your data out of the platform and into the other tools your business depends on. Whether you’re importing job costs into your accounting software, sharing a material list with a supplier, or archiving activity records, every key report in InventoryHQ includes an export option. Exports are available in CSV format for structured data you plan to work with further, and PDF format for reports you want to share or print.

What You Can Export

Exporting the Job Costing Breakdown

Navigate to Reports

From the main navigation, select Reports, then click Job Costing Breakdown.

Set your filters

Use the date range picker and job filter to scope the report to the time period or specific jobs you want to export. You can also filter by location if you have multiple warehouses.

Click Export

Select Export in the top-right corner of the report. Choose CSV to import into another platform, or PDF to save a formatted version for sharing or archiving.

Save the file

Your browser will download the file automatically. The filename includes the report name and the date range of the export for easy reference.

Exporting the Inventory Snapshot

Navigate to Inventory

Select Inventory from the main navigation, then open the Reports tab within the Inventory section.

Filter by location if needed

If you want to export inventory for a specific warehouse, apply the Location filter before exporting.

Click Export

Select Export and choose your preferred format — CSV or PDF.

Save the file

The file downloads to your device with the location name and export date in the filename.

Exporting the Material List

Navigate to Reports > Material List

Select Reports from the main navigation, then click Material List.

Filter by job or date range

Narrow the list to a specific job or time period if you only need materials for a particular project or phase.

Click Export

Select Export and choose CSV or PDF. The Material List PDF is formatted cleanly for printing or sharing with suppliers.

Exporting the User Activity Report

Navigate to Reports > User Activity

Select Reports from the main navigation, then click User Activity Report.

Set your filters

Filter by user, date range, or action type (material log, equipment check-out, job update) to focus the report on the activity you need.

Click Export

Select Export and choose CSV or PDF.
The User Activity Report is only accessible to users with the Manager role. Field workers cannot export or view this report. See User Permissions for details on role-based access.

Using Exported Data in Your CRM or Accounting Software

Once you have a CSV export from InventoryHQ, you can import it into most CRM and accounting platforms that support CSV uploads.

Open your CRM or accounting software

Go to the import or data section of your platform. This is commonly found under Settings > Import or a dedicated Data menu.

Upload your CSV file

Select the InventoryHQ CSV file from your device. Most platforms will auto-detect the column structure.

Map your fields

Match the InventoryHQ column names to the fields in your destination platform. Key mappings for job costing data typically include job name, total cost, material cost, and margin.

Run the import

Complete the import and verify a sample of records to confirm accuracy.
