Operational rules quick reference
These are the rules that cause the most friction when they are not followed. Keep them handy for yourself and your team.Negative inventory pulls: always enter a positive quantity, even when the system shows zero on hand. Never type a negative. Then tell your production manager. The negative balance is the audit flag.
Partials and leftovers: restock as a new inventory item with proportional pricing. Never return a partial against the original pull.
Returns: full unused units only, against the batch the material was originally pulled from.
Assign Material: planning only. No quantities, no inventory movement. Pull Material is the action that moves stock.
Ready to Audit: the same step as the old QC Approval label.
Minimum Stock Alert thresholds: drive every low stock alert, export, and email. An item without one will never alert.
SKUs: unique and mandatory on bulk import. Re-download the template whenever you add a unit, category, or location.
CRM connections: reconcile manually entered jobs before activating a CRM connection, or you will create duplicates.
Location assignment: a user with no assigned location sees nothing. Check assignments first when someone reports missing data.
Training: demos and training material always use the demo account. Never show live client data.
